These Terms of Service ("Terms") govern your use of qlot, the AI-powered document translation service operated by qtAI lab Co., Ltd. ("qtAI lab," "we," "us," or "our"), a company incorporated in the Republic of Korea.

By creating an account or using qlot, you agree to these Terms. Do not use the Service if you do not agree to them.

1. The Service

1.1 What qlot Does

qlot is a software-as-a-service product that translates documents between languages while preserving their formatting.

Supported formats include Microsoft Word (.docx), PowerPoint (.pptx), Excel (.xlsx), PDF, and Hangul Word Processor (.hwpx). The Service is provided through the qlot web application and, where available, through an API.

1.2 Definitions

For these Terms:

  • Service means qlot and all features we provide.
  • Account means the credentials and profile you create to use the Service.
  • Customer Content means documents you upload and translation outputs we return to you.
  • Subscription Plan means a paid qlot tier, including Starter, Pro, Team, and Enterprise.
  • Credits means the unit qlot uses to measure translation usage on metered plans.
  • Paddle means the applicable Paddle entity acting as Merchant of Record for international purchases.

1.3 Changes to the Service

We may add, remove, or change features over time.

We will provide at least 30 days' notice by email or through the Service before making a material change that adversely affects paying users.

2. Accounts and eligibility

2.1 Who May Use qlot

You must be at least 14 years old to create an Account. EU and EEA residents must be at least 16 years old.

When you create an Account on behalf of an organization, you confirm that you have authority to bind that organization to these Terms.

2.2 Account Security

You are responsible for keeping your credentials secure and for activity that occurs through your Account.

Notify us promptly if you suspect unauthorized access. We use Keycloak for authentication and do not store passwords in plaintext.

2.3 Individual and Team Accounts

An individual Account may be used by one natural person.

Team and Enterprise plans allow multiple users within the number of seats included in or purchased for the applicable plan.

3. Acceptable use

3.1 Prohibited Uses

You must not use qlot to:

  • Upload, translate, or distribute content that violates applicable law;
  • Upload content unless you have the rights and permissions needed to process it;
  • Create or distribute material that infringes intellectual property, violates privacy, defames or harasses another person, or sexualizes minors;
  • Circumvent technical restrictions, scrape the Service, or reverse-engineer its underlying models;
  • Resell, sublicense, or offer the Service to third parties as your own translation API without an Enterprise agreement;
  • Upload malware, interfere with our infrastructure, or conduct load testing without prior written permission; or
  • Use the Service in a way that harms other users, qtAI lab, or a third party.

3.2 Fair use

"Unlimited" glossaries on the Team and Enterprise plans assume ordinary team translation work, subject to a fair-use ceiling of 1,000 glossaries per Account. It does not apply to translation volume: credit usage remains subject to the monthly allowance for your plan.

To protect the stability of the Service and the normal use of other customers, we may take reasonable measures, including:

  • applying rate limits to glossary creation and modification requests;
  • blocking bulk creation through automated scripts or the API; and
  • restricting Accounts that use the glossary feature for a purpose other than managing translation terminology.

Glossary storage is provided for managing translation terminology and may not be used as a general-purpose data store. Where use materially exceeds ordinary use, we may act under Section 3.3. If we introduce a new limit that adversely affects paying users, we will give notice in accordance with Section 1.

3.3 Enforcement

We may suspend or terminate an Account that violates these rules.

Where reasonable, we will notify you and provide an opportunity to correct the violation before termination. We may terminate an Account without a refund for severe or repeated violations.

4. Customer Content and AI translation

4.1 Ownership of Customer Content

You retain all rights to Customer Content.

You grant us only the limited rights needed to operate the Service. These rights allow us to receive, process, temporarily store, and return your files and translation outputs.

4.2 No-Training Policy

We do not use Customer Content from paid Subscription Plans to train our AI models or third-party AI models.

Content submitted under a paid plan (Starter, Pro, Team, or Enterprise) is processed only to provide the requested translation and related Service functions.

Content submitted under the Preview plan may be used to improve and train our translation models. We apply technical measures to de-identify such content before use. To exclude your content from training, use any paid Subscription Plan.

4.3 Automatic Deletion

Uploaded files and translation outputs are automatically deleted within the retention period provided by your plan:

  • Preview: 1 day
  • Starter: up to 3 days
  • Pro: up to 7 days
  • Team: up to 30 days
  • Enterprise: as stated in the applicable agreement

After the retention period, files are removed from primary storage. Backup copies are removed on a rolling basis.

4.4 Translation Quality

AI translation is probabilistic and may contain errors.

We make reasonable efforts to provide accurate, high-quality translations, but we do not guarantee that an output will be complete, error-free, or suitable for a particular purpose.

You are responsible for reviewing translations before relying on them, especially in legal, medical, financial, regulatory, or safety-critical contexts.

5. Subscriptions, billing, and payments

5.1 Plans and Pricing

Available Subscription Plans, features, and prices are shown on the qlot pricing page .

The applicable price, currency, billing period, and included features are displayed before you confirm a purchase.

We may change prices by giving active subscribers at least 30 days' notice. A price change will apply from the next billing period after the notice period.

Each Subscription Plan includes usage limits — such as monthly credit and file allowances, maximum pages and size per file, simultaneous target languages, and OCR page limits — as disclosed on the pricing page. Material changes that adversely affect paying users are made in accordance with Section 1.3.

5.2 Paddle as Merchant of Record

International purchases are processed by Paddle, our online reseller and Merchant of Record.

When you purchase a subscription through Paddle, Paddle is the seller of the transaction. Paddle processes the payment, calculates applicable taxes, issues the receipt or invoice, and appears on your payment statement.

The purchase is also subject to Paddle's Checkout Buyer Terms and related policies. These Terms continue to govern your use of qlot.

qtAI lab provides product and account support. Paddle handles payment processing and the financial execution of approved refunds.

5.3 Automatic Renewal

Paid subscriptions renew automatically at the end of each billing period unless canceled.

Your payment method is charged at the beginning of each new billing period. The renewal price and billing schedule are shown at checkout and in your subscription settings.

Annual subscriptions are charged once upfront for the 12-month term at the discounted price shown at checkout. Switching between monthly and annual billing takes effect at the next renewal date; no immediate charge or refund results from scheduling a switch.

5.4 Cancellation

You may cancel your subscription at any time through your Account settings without paying a cancellation fee.

Cancellation normally takes effect at the end of the current billing period. You may continue using the paid plan until that date, and you will not be charged for another period.

5.5 Taxes

Unless stated otherwise, listed prices do not include VAT, GST, sales tax, or similar transaction taxes.

As Merchant of Record, Paddle calculates, collects, and remits applicable taxes based on the information provided at checkout. The final tax amount is displayed before payment.

5.6 Refunds

Refunds are governed by our Refund Policy , which forms part of these Terms.

The Refund Policy explains:

  • The applicable refund-request periods;
  • The eligibility rules for different types of transactions;
  • How billing errors and service issues are handled;
  • How Paddle reviews and processes refund requests; and
  • What happens to your subscription after a refund.

Nothing in these Terms limits a statutory right that cannot legally be waived.

5.7 Trials and Promotions

We may offer free trials or promotional pricing.

Before a trial begins, we will disclose the price, billing schedule, and date of the first charge. Canceling before the trial ends will prevent the first charge unless the terms presented at signup state otherwise.

5.8 Team Plans

Team plans include a monthly usage allowance (the “usage pool”), calculated as the number of seats multiplied by 20,000 credits.

Only where you have given prior, express consent, usage beyond the pool (“overage”) may incur charges at the unit price and billing cadence disclosed on the pricing page and at the time of consent.

That consent remains in effect for the duration of the applicable subscription and may be withdrawn by contacting support. Without consent, use of the Service may be limited once the usage pool is exhausted, and no overage charges will be made.

Refunds for overage charges are governed by Section 5.4 of the Refund Policy.

5.9 Enterprise Plans

Enterprise plans are governed by a separate written agreement.

When an Enterprise agreement conflicts with this Section 5, the Enterprise agreement controls with respect to pricing, invoicing, billing, and refunds.

API access is provided under Enterprise agreements and is subject to the limits stated in the applicable agreement.

5.10 Credits and Usage Allowances

Credit allowances refill on each renewal date, and unused credits do not roll over to the next period.

Each file deducts a minimum of 10 credits.

The credit amount displayed when you upload a file is the billing basis for that translation; no additional credits are deducted after the translation begins.

Credits have no cash value, are not redeemable for money, and expire when the subscription ends, subject to the Refund Policy.

Credit deduction rates by language direction are disclosed in the Service and may be adjusted from time to time. Adjustments apply prospectively to files uploaded after the change; material adjustments that adversely affect paying users are made in accordance with Section 1.3. The credit amount quoted at upload always remains the billing basis.

6. Intellectual property

6.1 Our Intellectual Property

The Service, including its software, source code, models, trademarks, interfaces, and design, is owned by qtAI lab or its licensors.

We grant you a limited, non-exclusive, non-transferable, and revocable right to use the Service for its intended purpose while these Terms remain in effect.

6.2 Feedback

You may send us feedback or suggestions.

We may use that feedback without payment or other obligation to you. We will not identify you as the source without your consent.

7. Warranties and disclaimers

7.1 Service Availability

We aim to keep the Service available and reliable.

We do not guarantee uninterrupted availability unless a written Enterprise service-level agreement states otherwise. The Service may be unavailable during maintenance or because of circumstances outside our reasonable control.

7.2 Service Provided "As Is"

Except where these Terms expressly state otherwise or applicable law requires otherwise, the Service is provided "as is" and "as available."

We disclaim all warranties, whether express, implied, or statutory, including warranties of merchantability, fitness for a particular purpose, accuracy, and non-infringement.

8. Limitation of liability

To the fullest extent permitted by law, qtAI lab will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages.

This includes loss of profits, revenue, goodwill, business opportunities, or data, even when we have been advised that such loss may occur.

Our total aggregate liability arising from or relating to the Service or these Terms will not exceed the greater of:

  1. USD 100; or
  2. The amount you paid for the Service during the 12 months before the event giving rise to the claim.

Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited, including liability for gross negligence, willful misconduct, or death or personal injury caused by negligence.

9. Indemnification

To the extent permitted by law, you agree to defend, indemnify, and hold harmless qtAI lab, its affiliates, officers, employees, and representatives from third-party claims, damages, losses, and reasonable legal expenses arising from:

  • Your Customer Content;
  • Your violation of these Terms or applicable law; or
  • Your infringement of another person's rights through your use of the Service.

10. Suspension and termination

10.1 Termination by You

You may delete your Account at any time.

Deleting your Account ends these Terms as they apply to you, except for provisions that are intended to survive termination, including Sections 6, 8, 9, and 11.

10.2 Suspension or Termination by Us

We may suspend or terminate access to the Service when:

  • You materially violate these Terms;
  • Payment remains overdue after notice;
  • Your use creates a security or legal risk; or
  • Suspension or termination is required by law.

Where practicable, we will notify you and provide an opportunity to correct the issue.

10.3 Effect of Termination

After termination, Customer Content is deleted according to the applicable retention period.

You may request an export of available Account data within 30 days after termination by contacting support.

11. Governing law and disputes

11.1 Governing Law

These Terms are governed by the laws of the Republic of Korea, without regard to conflict-of-law principles.

The United Nations Convention on Contracts for the International Sale of Goods does not apply.

11.2 Courts and Consumer Rights

Disputes are subject to the exclusive jurisdiction of the Seoul Central District Court in the Republic of Korea.

For consumers, this provision does not remove mandatory protections available under the laws of your country of residence. Where those laws require otherwise, you may bring a claim in the courts of your place of residence.

11.3 Informal Resolution

Before starting formal proceedings, contact us at support@qtailab.com .

Many concerns can be resolved through direct communication.

12. General provisions

12.1 Changes to These Terms

We may update these Terms.

We will provide at least 7 days' notice before a material change takes effect and at least 30 days' notice when a change is materially unfavorable to users.

Continued use after the effective date means that you accept the updated Terms. Where applicable law requires affirmative consent, we will request it separately.

12.2 Assignment

You may not assign these Terms without our prior written consent.

We may assign these Terms as part of a merger, acquisition, corporate reorganization, or sale of assets.

12.3 Severability

If a provision of these Terms is found unenforceable, the remaining provisions will continue in effect.

12.4 Entire Agreement

These Terms, together with our Privacy Policy , Refund Policy , and any Enterprise agreement between you and qtAI lab, form the entire agreement governing the Service.

12.5 Language and Regional Versions

This English version governs the international Service and purchases processed through Paddle.

The Korean-language Service is governed by separate Korean terms published at /ko/terms. Purchases processed through Toss Payments are subject to those Korean terms.

Translations of this English version may be provided for convenience. Unless mandatory law requires otherwise, the English version controls for the international Service.
