This Refund Policy explains how subscription cancellations and refund requests work for qlot, the AI document-translation service operated by qtAI lab Co., Ltd., Seoul, Republic of Korea.

This policy applies to purchases processed through Paddle. Purchases processed through our Korean payment provider are governed by the Korean Refund Policy described in Section 11.

Nothing in this policy limits any right that cannot legally be waived. Where applicable law or Paddle's Refund Policy provides greater protection, that greater protection applies.

1. Definitions

For this policy:

  • Transaction means a purchase processed through Paddle, including an initial subscription payment, renewal, plan change, seat purchase, add-on, overage charge, or other paid order.
  • Transaction Date means the date and time recorded by Paddle and shown on the applicable receipt or transaction record.
  • Consumer means a person purchasing qlot mainly for personal use.
  • Business means a person or organization purchasing qlot in connection with a trade, profession, or business.

The Transaction Date and time recorded by Paddle determine the timing of refund periods. Statutory periods are calculated as required by applicable law.

2. Policy summary

  • Within 14 days: You may withdraw from your purchase for any reason and receive a full refund, in accordance with Paddle's Refund Policy and applicable law.
  • After 14 days: Refunds are at Paddle's discretion. Billing errors, material defects, tax refunds, and mandatory legal rights may still be reviewed.
  • Cancellation: You may cancel at any time to prevent future renewals. Cancellation does not automatically refund the current billing period.
  • Merchant of record: Paddle is the merchant of record and processes all refunds. Where anything here conflicts with Paddle's Refund Policy, Paddle's Refund Policy applies.

The sections below contain the full terms of this policy.

3. Cancellation and refunds are different

You may cancel your subscription at any time through your qlot account dashboard or the subscription-management options made available by Paddle.

Cancellation prevents future renewals. Unless a refund is approved, you may continue using your paid plan until the end of the billing period you have already paid for.

Cancellation alone does not refund the current billing period.

Your next renewal date is shown in your subscription settings. To avoid an unwanted renewal charge, cancel before that date.

4. Refund request periods

4.1 Mandatory and broader rights take priority

The rights described in Sections 4.2 through 4.4 do not reduce or replace:

  • An unconditional cancellation or refund right provided by applicable law;
  • A statutory withdrawal right;
  • A right relating to a faulty, materially defective, or misdescribed service;
  • A broader right under Paddle's Refund Policy; or
  • Another non-waivable consumer remedy.

Where one of these rights applies, the eligibility conditions and remedy required by that right take priority over qlot's standard rules.

4.2 Your 14-day right to withdraw

Paddle is the merchant of record for your purchase. Paddle's Refund Policy applies, and the description below summarizes how it works.

You have the right to withdraw from your purchase for any reason within 14 days of the Transaction and receive a full refund, in accordance with Paddle's Refund Policy and applicable law.

This right applies unless, during the 14-day period, you began using or benefiting from the Service after expressly agreeing that it would be made available before the end of that period, to the extent permitted by applicable law.

To request a refund, contact Paddle using the “View receipt” or “Manage subscription” link in your confirmation email, or visit Paddle's Refund Policy.

4.3 Discretionary refunds after 14 days

After the 14-day withdrawal period, refunds are at Paddle's discretion. Submitting a request does not by itself guarantee approval.

Paddle reviews each request on a case-by-case basis and may:

  • Approve a full refund;
  • Approve a partial refund;
  • Offer a service credit with your agreement;
  • Request additional information; or
  • Decline the request.

The review may consider applicable consumer law, Paddle's Refund Policy, the type of Transaction, the reason for the request, use or consumption of the Service, billing or technical problems, the terms presented at checkout, and the overall circumstances of the Transaction.

4.4 Billing errors, defects, and legal rights

Regardless of timing, you may contact us or Paddle regarding:

  • Duplicate or unauthorized charges;
  • Charges made after a cancellation became effective;
  • Incorrect plan, seat, tax, or overage charges;
  • Persistent technical problems or a material service defect;
  • A charge that does not match the Transaction you approved;
  • A qualifying business tax-refund request under Section 10; or
  • A refund or other remedy required by applicable law.

These matters will be reviewed based on the nature of the issue, Paddle's Transaction records, Paddle's policies, and applicable law.

For annual subscriptions, the request periods above apply to the annual charge. Outside those periods, canceling an annual subscription takes effect at the end of the 12-month term, and partially used terms are not prorated unless required by law or approved under Section 9.

5. Rules for different types of Transactions

5.1 Initial subscription payments

An initial subscription payment may be reviewed under the request periods and eligibility rules in Section 4.

An approved full refund may end the paid subscription immediately and return the account to the Preview plan.

5.2 Renewal payments

Subscriptions may be canceled before the renewal date to prevent a renewal charge.

For renewals, Paddle's Refund Policy applies, including any statutory right to withdraw from an auto-renewal that applies in your country (for example, for annual subscriptions in certain regions).

5.3 Plan changes, add-ons, and Team seats

Upgrades, add-ons, and added Team seats may take effect immediately. Any immediate or prorated amount will be shown before you confirm the change.

Downgrades and seat reductions ordinarily take effect at the beginning of the next billing period unless the confirmation screen states otherwise.

Refund eligibility is assessed against the specific Transaction that created the charge.

A refund for one Transaction does not automatically refund every other payment associated with the same subscription.

5.4 Overage and other usage-based charges

Team plans may incur overage charges, with your prior consent, when translation usage exceeds the amount included in the plan.

Because overage charges relate to usage that has already occurred, they are generally not refundable.

An overage or usage-based charge may qualify for a full or partial refund when:

  • The charge does not match the recorded usage;
  • It was duplicated or calculated incorrectly;
  • It was not properly authorized;
  • The underlying usage was not successfully delivered; or
  • A refund is required by applicable law.

6. Billing errors and service defects

6.1 Billing errors

Confirmed billing errors may qualify for a full or partial refund, including:

  • Duplicate charges;
  • Charges made after a cancellation became effective;
  • Charges for a plan or seat quantity you did not authorize;
  • Incorrect tax or overage calculations; and
  • Other charges that do not match the Transaction you approved.

We may ask for your receipt, Transaction number, or other information reasonably needed to investigate the charge.

6.2 Material service defects

If qlot fails to deliver the purchased Service, unreasonably delays delivery, or has a persistent material defect that prevents access to the features or benefits described at purchase, contact qtAI lab so that we can investigate and attempt to resolve the issue.

Where applicable law or Paddle's policies require a refund, replacement, or other remedy, that remedy will be provided.

In other cases, qtAI lab or Paddle may provide:

  • A full refund;
  • A partial refund for the affected period; or
  • A service credit of comparable value with your agreement.

The appropriate remedy depends on the nature, duration, and effect of the problem.

Minor interruptions, scheduled maintenance, issues caused by your device or network, and failures outside our reasonable control do not automatically qualify for a refund.

6.3 Credits for failed or unsatisfactory translations

Failed translations are not billed. If a translation does not complete successfully, no credits are deducted, and any deduction made in error is reversed automatically.

If you are not satisfied with a completed translation result, you may submit a credit refund request through the process in Section 8. Requests are reviewed individually, and approved credits are returned to your account balance.

7. Your legal rights

Nothing in this policy excludes or restricts any consumer right that cannot legally be waived.

Consumers in certain countries may have statutory cancellation, withdrawal, repair, replacement, price-reduction, or refund rights. The availability and scope of those rights depend on applicable law, the type of Transaction, and the circumstances in which the Service was supplied or used.

Statutory consumer rights generally apply only where the buyer qualifies as a Consumer under the relevant law. Paddle's Refund Policy applies to both Consumers and Businesses unless a separate written agreement states otherwise.

Where applicable law provides greater protection than this policy, the law prevails. Purchases processed through Paddle are also subject to Paddle's Buyer Terms and Refund Policy.

8. How to request a refund

8.1 Contact qtAI lab

Email support@qtailab.com from the email address associated with your qlot account.

Please include:

  • Your qlot account email address;
  • Your Paddle receipt, order, or Transaction number;
  • The date and amount of the charge; and
  • A short explanation of your request.

We aim to respond to support requests within 5 business days. This response period does not mean that Paddle will approve or complete the refund within the same period.

8.2 Contact Paddle

For purchases processed through Paddle, you may also request assistance through Paddle's buyer-support service at paddle.net , through the support link on your Paddle receipt, or by using the subscription-management link in your Paddle confirmation email.

Requests submitted directly to Paddle are handled under Paddle's review procedures and timelines.

You do not need to submit the same request through both qtAI lab and Paddle.

9. Refund review and processing

Paddle acts as the authorized reseller and Merchant of Record for Transactions it processes.

qtAI lab may review a request under this policy and submit or support a refund request through Paddle. Paddle may review and determine the request under applicable law, Paddle's Buyer Terms, Paddle's Refund Policy, payment-network requirements, and fraud or dispute controls.

9.1 Refund status

Submitting a refund request does not mean that the refund has been completed.

A request may be shown as:

  • Submitted;
  • Pending approval;
  • Approved;
  • Rejected; or
  • Reversed where applicable.

While a request is pending:

  • Your subscription may remain active;
  • Your account may retain its current plan;
  • The refund must not be treated as complete; and
  • Funds should not be considered returned until approval is confirmed.

9.2 Approved full refunds

When a full refund is approved:

  • The refunded subscription or entitlement may end immediately;
  • Your account may return to the Preview plan;
  • Unused credits, seats, and related benefits may be removed; and
  • Access to paid features connected to the refunded Transaction may end.

A refund does not restore credits or other usage already consumed.

9.3 Approved partial refunds and service credits

A partial refund may apply to only part of a Transaction or to particular items within it.

When a partial refund or service credit is approved, we will explain how it affects your subscription, remaining benefits, and future billing.

A service credit will not replace a refund required by law unless you agree and applicable law permits it.

9.4 Payment method and timing

Approved refunds are ordinarily returned to the original payment method where possible. They generally cannot be redirected to another card, account, or person.

The time required for an approved refund to appear depends on Paddle, the payment method, and the financial institution.

10. Tax refunds for Businesses

A Business that was charged VAT, GST, sales tax, or a similar consumption tax may qualify for a refund of the tax amount where:

  • The Business is registered for the relevant tax in the country of purchase;
  • Applicable law permits the refund; and
  • The Business provides Paddle with a valid tax-registration number, tax-exemption certificate, or other required evidence.

Tax-refund requests must ordinarily be submitted directly to Paddle within 60 days after the relevant Transaction Date. Requests made later may be declined unless applicable law requires otherwise.

A tax refund adjusts the tax charged on the Transaction. It does not necessarily refund the underlying subscription, product, or service price.

11. Purchases processed through our Korean payment provider

This policy does not govern purchases processed through our Korean payment provider.

Those purchases are governed by the Korean Refund Policy and applicable Korean law.

The language selected in the qlot interface does not determine which policy applies. The applicable policy depends on the payment provider shown at checkout or on the receipt.

12. Fraud, abuse, and payment disputes

Refund requests may be declined where there is evidence of fraud, repeated refund abuse, manipulation of account or billing information, or an attempt to obtain paid services without payment.

We encourage you to contact qtAI lab or Paddle before initiating a payment dispute so that the issue may be investigated directly.

Nothing in this section limits your lawful right to dispute an unauthorized, fraudulent, duplicated, undelivered, or otherwise invalid charge through your bank, card issuer, payment provider, card scheme, or an applicable consumer-protection process.

Access to the affected paid Service may be temporarily suspended while a chargeback or payment dispute is investigated.

13. Preview plans, trials, and promotions

The Preview plan does not involve payment, so there is no charge to refund.

Paid plans do not currently include a free trial unless the checkout page states otherwise.

If we introduce a free trial, the checkout terms will explain:

  • When billing begins;
  • How to cancel before the first charge; and
  • Which withdrawal and refund terms apply after the trial converts to a paid subscription.

Discounted and promotional payments may be refunded only up to the amount actually paid.

Promotional credits, bonus credits, and other benefits provided without charge have no cash value and are not separately refundable.

14. Changes to this policy

We may update this policy from time to time.

Material changes will be posted with a revised effective date. Unless applicable law requires otherwise, the version in effect when the relevant Transaction occurred will apply to that Transaction.

A later update will not reduce a right that had already arisen under an earlier version.
